Membership Terms & Conditions

1 Who we are

LionHeart Muay Thai Academy is the trading name of Vital Force Developments Ltd, company number 16279091. The Academy is based at Unit 12, W12 Shopping Centre, Shepherd's Bush Green, London W12 8PP. By joining, the member (or the parent/guardian purchasing a junior membership) enters into a contract with Vital Force Developments Ltd.

2. HOW WE USE YOUR INFORMATION

Adult and Junior membership products include Essential (4 classes per month), Performance (8 classes per month) and Mastery Unlimited. LionHeart also offers Personal Training products, including a Single Session, prepaid packages of 4, 8, 12 and 24 sessions, and recurring monthly PT membership packages. The exact number of PT sessions included in any recurring monthly PT membership will be stated at the point of sale. All PT products are subject to section 1.12.

Membership terms may be rolling month-to-month, 3 months, 6 months or 12 months. A 12-month minimum term is the Academy’s annual commitment option. Current prices are shown separately and may change for new memberships.

3. Joining fee

A £95 joining fee applies where stated. It covers onboarding items such as LionHeart training kit, registration, insurance and member setup/benefits.

A £40 annual renewal fee is automatically payable every 12 months while the membership remains active, where stated at sign-up. It supports annual insurance/registration renewal and ongoing member administration/benefits. The renewal fee does not create a new minimum membership term. Any change to the renewal fee will be communicated in advance.

The joining fee and annual renewal fee are subject to any statutory cancellation or refund rights that apply. For a distance or off-premises contract, LionHeart will not treat a fee as automatically non-refundable merely because onboarding has been processed; any lawful deduction will reflect services supplied, goods retained or other amounts the law permits LionHeart to charge.

4. Payment

Membership fees are normally collected monthly by Direct Debit or card. The Academy currently uses Glofox and is moving to Exercise.com; payment services may include Stripe and GoCardless.

Members must keep valid payment details on file and ensure funds are available when payment is due.

Prices shown as monthly are payable each month throughout the applicable minimum term unless a different payment schedule is expressly agreed.

5. Minimum terms and continuation

Where a 3, 6 or 12-month minimum term is selected, the member commits to that minimum term, subject to the early-cancellation provisions below.

At the end of a fixed minimum term, membership continues on a rolling monthly basis unless cancelled in accordance with these terms. LionHeart will comply with any renewal reminder, cooling-off or cancellation requirements that are legally applicable at the relevant time.

6. Rolling cancellation

After any applicable statutory cooling-off period, rolling memberships may be cancelled by giving at least 30 days’ notice in writing through the accepted membership cancellation channel or by email to info@lionheartmuaythai.com. This contractual notice period does not replace or reduce any statutory right to cancel during a legally applicable cooling-off period.

Membership remains active, and fees remain payable, during the notice period. Cancellation is effective only when confirmed or recorded by the Academy.

7. Early cancellation of a fixed minimum term

After any applicable statutory cooling-off period, early cancellation of a fixed minimum term may be considered where continued membership has become unreasonable because of serious injury or medical reasons, pregnancy, significant relocation, redundancy/serious financial hardship, or another exceptional circumstance. This discretionary contractual route is separate from any statutory cancellation right.

The Academy may ask for reasonable supporting evidence. Decisions will be made fairly and case-by-case. Any amount already properly due remains payable.

8. Freezing membership

A member may request a freeze if they are reasonably unable to train for more than three consecutive weeks because of injury/illness, travel, or a significant personal circumstance.

Freezes require Academy approval and are normally limited to a maximum of three months. The minimum membership term and end date are extended by the equivalent frozen period. Fees during a freeze will follow the freeze arrangement confirmed by the Academy.

9. Failed payments

If a payment fails, the payment provider or Academy may retry it automatically. The Academy will contact the member and allow 7 days to bring the account up to date.

Booking and training access may be suspended while fees remain overdue. Continued non-payment may result in suspension or termination of membership and recovery of sums lawfully due. The Academy will not impose arbitrary penalty fees.

10. Class credits and expiry

Essential and Performance class credits are monthly allowances. Unless the Academy expressly agrees otherwise, unused credits expire at the end of the applicable membership month and do not roll over.

Mastery Unlimited is subject to reasonable booking, attendance and fair-use rules.

11. Booking and attendance

Classes may normally be booked up to 7 days in advance, subject to capacity and any programme-specific rules.

Members must cancel a booked group class at least 24 hours before the class begins. A late cancellation or no-show causes the booked class credit to be lost. For unlimited memberships, three late cancellations/no-shows within a rolling 30-day period may result in a temporary restriction on advance booking, normally up to 14 days, while still allowing reasonable access to available sessions.

The Academy may exercise discretion for genuine emergencies.

12. Personal Training Products, Validity and Cancellations

Personal Training is available as single sessions, prepaid packages and recurring monthly PT membership packages. Prepaid packages must be used within the following periods from purchase unless a different start date is expressly agreed in writing: 4 sessions – 8 weeks; 8 sessions – 10 weeks; 12 sessions – 12 weeks; 24 sessions – 16 weeks. Unused prepaid sessions expire at the end of the applicable validity period and do not roll over or become refundable, subject to statutory rights and any written extension approved by LionHeart for exceptional circumstances.

Where PT sessions are included in a recurring monthly PT membership, the package is paid by recurring Direct Debit or card payment and automatically refreshes at the start of each monthly billing period. All sessions allocated for that month must be used within that membership month. Unused monthly PT sessions expire at the end of the billing period and do not roll over. The next month’s allocation then activates automatically. Recurring monthly PT memberships continue until cancelled with at least 30 days’ written notice. Fees falling due during the notice period remain payable and the package remains active until the effective cancellation date.

Individual PT appointments require at least 24 hours’ notice to cancel or reschedule. Sessions cancelled within 24 hours of the appointment, or missed without notice, are normally treated as used and deducted from the applicable package. LionHeart may exercise reasonable discretion in a genuine emergency.

13. Timetable and coaches

Timetables, instructors, class formats and room use may change for operational, staffing, safety or programme reasons. The Academy will make reasonable efforts to provide suitable alternatives and communicate material changes.

Membership does not guarantee a particular coach, class time or unlimited capacity in every session.

14. Health, suitability and participation

All new members must complete the Academy’s health screening/PAR-Q or equivalent declaration before participating and must disclose relevant changes to health, medication, injury or pregnancy.

Coaches may modify, pause or refuse participation where they reasonably believe an activity is unsafe or beyond a member’s current capability. A member may be asked to obtain medical advice or clearance where appropriate.

15. Martial arts contact and risk

Muay Thai and related training may include mobility, stretching, padwork, bagwork, partner drills, clinching, strength and conditioning, controlled contact and, where authorised, sparring.

Participation involves inherent sporting risks including bruising, strains, sprains and other injuries. Members agree to follow coaching instructions, use appropriate protective equipment and train within their capabilities.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any liability or consumer right that cannot lawfully be excluded.

16. Junior members

Junior memberships are contracted through a parent or legal guardian. Parents/guardians are responsible for accurate emergency, health and collection information and for updating the Academy when circumstances change.

Formal junior sparring requires separate parent/guardian consent. Competition requires parent/guardian consent and Head Coach approval, together with applicable event/BMABA rules.

17. Conduct and hygiene

Membership is conditional on compliance with the Academy Code of Conduct, safeguarding rules, hygiene standards and reasonable coaching/safety instructions. Members must attend clean, use appropriate personal hygiene/deodorant, wear clean training kit, tie back long hair where appropriate, keep fingernails and toenails short and smooth, cover cuts/abrasions appropriately, and use clean, safe equipment. Full hygiene and infection-control rules are set out in section 5.2.

The Academy may suspend or terminate membership for serious or repeated misconduct, including violence outside legitimate training, bullying, harassment, discrimination, sexual harassment, threats, deliberate unsafe training, repeated disregard of instructions, intoxication/drug use on site, theft, damage, inappropriate conduct toward children or adults, or serious disruption.

18. Illness and infection

Members must not train while knowingly suffering from a contagious illness or contagious skin condition such as ringworm where training may expose others. Return to training should occur only when the condition is no longer contagious or appropriate medical advice supports return.

19. Photography and marketing

Promotional photography/video consent and direct-marketing consent are separate choices and are not conditions of membership. A member can train even if they decline promotional media consent or marketing.

Consent may be withdrawn for future use, subject to practical limits described in the Photography, Video & Media Consent section.

20. Consumer cooling-off rights

Where a membership or Personal Training product is purchased online, by phone, or otherwise at a distance/off-premises and statutory cancellation rights apply, the consumer normally has 14 days from entering the service contract to cancel without giving a reason. This statutory cooling-off right is separate from LionHeart’s 30-day rolling-membership notice rule and fixed-term early-cancellation policy.

If the consumer expressly asks LionHeart to begin providing services during the cooling-off period and later cancels within that period, LionHeart may charge a proportionate amount for services supplied up to cancellation where the law permits. Where goods such as training kit have also been supplied, any return/refund position will be handled in accordance with the applicable consumer rules. Statutory rights override these terms.

Online/distance enrolment should therefore include a clear, unticked request from the consumer if they want training/services to start during the 14-day cooling-off period, together with the required cancellation information and model cancellation form.

21. Academy cancellation and termination

LionHeart may cancel a class for safety, staffing, emergency or operational reasons. Where reasonable, an alternative or account adjustment will be offered.

LionHeart may suspend or end a membership for serious misconduct, safeguarding risk, non-payment, fraud, or material breach of these terms, using a proportionate process and preserving any rights that cannot legally be excluded.

22. Changes to terms and prices

LionHeart may update policies and future pricing to reflect legal, operational, safeguarding or service changes. Material changes affecting existing rolling memberships will be communicated with reasonable notice. Fixed minimum-term price commitments will not be changed during the agreed minimum term unless the contract expressly permits it and the change is fair and lawful.

23. Contact and complaints

Membership enquiries and cancellations: info@lionheartmuaythai.com or 07957 994138. Complaints are handled under the Academy Complaints Procedure.
